User Management

This guide covers adding, editing, and managing user accounts in GovPayPlan.

Accessing User Management

  1. Navigate to Settings > Users
  2. You'll see a list of all users in your agency

Viewing Users

User List

The user list displays:

  • Name
  • Email
  • Role
  • Status (Active/Inactive)
  • Last login

Filtering Users

Filter the list by:

  • Status (Active/Inactive/All)
  • Role
  • Search by name or email

Adding a New User

Step 1: Start New User

Click Add User to open the new user form.

Step 2: Enter User Information

Step 3: Set Initial Access

  • Send invitation email: User receives email to set password
  • Set temporary password: You create a password they must change

Step 4: Save User

Click Create User to add them to the system.

TIP

Users receive a welcome email with instructions to complete their account setup.

Editing Users

Access User Details

Click on a user's name to open their profile.

Editable Fields

  • Name
  • Phone
  • Role
  • Status

WARNING

Email addresses cannot be changed after creation. Create a new user if email change is needed.

Saving Changes

Click Save Changes after making updates.

Deactivating Users

Deactivating a user prevents them from logging in while preserving their transaction history.

To Deactivate

  1. Open the user's profile
  2. Click Deactivate User
  3. Confirm the action

Deactivation Effects

  • User cannot log in
  • Transaction history is preserved
  • User can be reactivated later

Reactivating Users

  1. Filter by Inactive users
  2. Open the user's profile
  3. Click Reactivate User

Deleting Users

DANGER

Deleting a user is permanent and cannot be undone. Use deactivation instead when possible.

User deletion may be restricted if:

  • User has processed transactions
  • User owns recurring payments
  • Audit requirements apply

Password Management

Reset User Password

  1. Open user's profile
  2. Click Reset Password
  3. Choose:
    • Send reset email
    • Set temporary password

Locked Accounts

If a user is locked out after too many failed attempts:

  1. Open their profile
  2. Click Unlock Account
  3. Optionally reset their password

Bulk User Management

Import Users

  1. Navigate to Settings > Users > Import
  2. Download the CSV template
  3. Fill in user information
  4. Upload the completed CSV
  5. Review and confirm

Export Users

  1. Click Export on the users page
  2. Download user list as CSV

User Activity

View User History

From a user's profile, see:

  • Login history
  • Recent transactions
  • Administrative actions

Audit Trail

All user changes are logged:

  • Who made the change
  • What was changed
  • When it occurred
