Receipts

Receipts provide payers with confirmation of their payment. GovPayPlan automatically generates and sends receipts for all successful transactions.

Automatic Receipts

When a payment is processed successfully:

  1. A receipt is generated immediately
  2. Email is sent to the payer's email address
  3. Receipt is stored in the transaction record

Receipt Contents

Standard receipts include:

  • Agency name and logo
  • Transaction ID
  • Date and time
  • Payer name
  • Payment amount
  • Payment method (last 4 digits)
  • Payment type/description
  • Reference number (if provided)

Resending Receipts

If a payer needs another copy of their receipt:

From Transaction Details

  1. Navigate to Transactions
  2. Find and click on the transaction
  3. Click Resend Receipt
  4. Confirm the email address
  5. Click Send

Bulk Resend

To resend receipts for multiple transactions:

  1. Navigate to Transactions
  2. Select the transactions using checkboxes
  3. Click Actions > Resend Receipts
  4. Confirm and send

Downloading Receipts

PDF Download

  1. Open the transaction details
  2. Click Download Receipt
  3. Select PDF format
  4. Save the file
  1. Open the transaction details
  2. Click Print Receipt
  3. Use your browser's print dialog

Customizing Receipts

Agency administrators can customize receipt templates:

Available Customizations

  • Agency logo
  • Header and footer text
  • Additional fields
  • Color scheme
  • Custom messages

Accessing Receipt Settings

  1. Navigate to Settings > Agency Settings
  2. Select Receipt Template
  3. Make your customizations
  4. Preview and save

Receipt Delivery Issues

Email Not Received

If a payer reports not receiving their receipt:

  1. Verify the email address on the transaction
  2. Ask the payer to check spam/junk folders
  3. Resend the receipt
  4. Consider downloading and manually sending

Invalid Email Address

If an email address was entered incorrectly:

  1. Open the transaction details
  2. Click Edit Payer Info
  3. Update the email address
  4. Resend the receipt

Receipt Records

All receipt activity is logged:

  • Original send timestamp
  • Resend history
  • Download history
  • Email delivery status (when available)

Access this from the transaction details under Receipt History.
